Nick Bennyhoff: Hello everyone. Joan Bauer will join us later if she can - she had something come up.

Nick Bennyhoff: Linda Kates and I are here and ready to get started shortly.

Nick Bennyhoff: Just a reminder, I believe that we would like to have everyone list their library affiliation in their name that displays to the right under Participants so we know who to give CE credit to

Nick Bennyhoff: To add that, click on the dropdown next to Attendees and click on Edit My Info. Thanks.

Audrey VanVoorhis at Helen Matthes Library: Sorry Nick, I'm Audrey VanVoorhis at Effingham Public Library now

Nick Bennyhoff: Audrey, thanks. Not a problem - we know about the new name there, so we'll definitely get you counted.

Nick Bennyhoff: Ok, it's now 1pm - is there anything in particular anyone would like to talk about today?

Nick Bennyhoff: Just a reminder to everyone - each month, we post the recording and documents from the Cataloger's Training Sessions on the SHARE website.

Nick Bennyhoff: In addition to providing you with an opportunity to watch the recording if you miss the session, the page can also be useful for reference if you're looking for information.

Nick Bennyhoff: http://share.illinoisheartland.org/?q=cataloging/training-sessions

Brittany Maine- Belleville Public Library: I have a question about the 970 field. I know we're supposed to only delete our own 970 once we add our item, but I'm wondering if anything will happen to other libraries on-order records if we merge a record and the other libraries' 970s disappear in the merge? I don't know if I'm explaining that clearly, let me know.

Nick Bennyhoff: That's a good question, Brittany. I'm not sure of the answer. Joan probably could answer that one. If she doesn't make it to the chat, I'll make sure we get you an answer later.

Brittany Maine- Belleville Public Library: Thanks!

Yvonne Williams West Sangamon Public Library: A big thank you to Cheri for traveling to Rochester a couple weeks ago for the cataloging workday. Although I didn't attend, our director and a co-worker did attend and it was very helpful. We hope that Rochester continues to be on the rotation for cataloging workdays.

Nick Bennyhoff: Cheri is usually happy to travel if she knows she'll have enough people for the workday. I'll definitely pass along that she should keep Rochester in mind when scheduling in the future.

Yvonne Williams West Sangamon Public Library: Thanks!

Lauren Erwin @ Hayner: Any time I have merged records, the 970s come along with the record.

Amanda Endicott @ Edwardsville Public Library: Brittany. We use acquisitions at EPL and as long as the 970 says Processed in the subfield 9 it doesn't affect us at all if it is removed through merging. I'm not sure how it would affect us if it were removed before we had "Processed" it.

Brittany Maine- Belleville Public Library: Really? Every time I merge, the 970s are gone, including my own.

Lauren Erwin @ Hayner: I wonder if that has something to do with your export settings?

Brittany Maine- Belleville Public Library: Hmmm....that's what I was just thinking. I'll look into it.

Amanda Endicott @ Edwardsville Public Library: I just merged a record with the on-order record and the 970 didn't merge with it.

Nick Bennyhoff: sorry I'm not more help on the 970s - I work mostly with older items (working with the existing collections of the libraries joining SHARE), so I don't usually see these

Joyce Bringenberg @ Glen Carbon: I copy and past the 970's when I merge.

Amanda Endicott @ Edwardsville Public Library: I wonder if it has something to do with the status of the 970. Whether the item has been received or not?

Linda Kates: Does anyone know if the 970 field becomes the migrating 035 field when merging of on order records takes place to a full bib record?

Brittany Maine- Belleville Public Library: We're new to the acquisitions module and on-order records so that's why I'm wondering about it.

Brittany Maine- Belleville Public Library: I think the bib number that the on-order record has becomes the migrating 035.

Esther Curry--C.E. Brehm Memorial PLD: There are times that when you merge bibs that the 970 will be automatically deleted. I run into this especially with provisional records. Joan & I came up with a work around that works. Just a little complicated to explain in chat.

Linda Kates: If that is the case you should delete the 035 field(s) when merging.

Vicki Carr South Macon: Vicki Carr South Macon Sorry to be late, had to install Abobe. Thanks.

Brittany Maine- Belleville Public Library: It's a local practice to delete the merged 035, right?

Linda Kates: Yes

Brittany Maine- Belleville Public Library: ok, that's what I thought and have been doing.

Nick Bennyhoff: looks like we may need to make sure that there's documentation about what to do with the 970s, so it's clear to everyone

Joan Bauer: Brittany -- This is Joan -- it shouldn't affect deleting the 970 after it is processed.

Brittany Maine- Belleville Public Library: Ok. Good. Thank you!

Joan Bauer: The bib and item are attached to the POLI and when you merge the bib -- the POLI will then attach to the bib you merged to, does that make sense? The 970 is basically used to create PO and POLIs and after that, is just useful if there are issues.

Brittany Maine- Belleville Public Library: Makes sense.

Brittany Maine- Belleville Public Library: Good to know that merging won't ruin someone else's order. Whew.

Esther Curry--C.E. Brehm Memorial PLD: The problem comes if the 970 is deleted before a POLI is created--which is what I was running into with merging a provisional record with my 970 to a bib already in the database.

Joan Bauer: 970's are set to delete when the on order bib is merged with the full level bib.

Joan Bauer: That's correct Esther -- are we still having issues?

Esther Curry--C.E. Brehm Memorial PLD: No--our work around works great!

Esther Curry--C.E. Brehm Memorial PLD: Just wanted others to know that that can be an issue since we have a lot of new EDI users.

Joan Bauer: 970's should be left alone. They delete when the on order bib is merged. Most of the Acquisition libraries process the 970's immediately after importing. Esther's workflow prevented her from doing that.

Brittany Maine- Belleville Public Library: Ok. I was going to ask at what point in the process the 970s are generated, but I get it now.

Joan Bauer: 970s are generated at import. When Mary takes the record set to create the PO, the POLIs (purchase order line item) uses the information from the 970. Once the PO is released and the on order items are generated, the 970 has done it's job.

Denise Putz - Tri-Township Public: Now may be a good time to remind everyone who can, to make edits to bib records. Things like taking out 020's that have (ebook) on them, multiple 020's that have the same isbn, only one of them had HRD behind it. Also, (videorecording (DVD))is not correct. And lots of other edits that should be made. If everyone would edit things like this, it wouldm't take the few catalogers that do the edits near as much time.

Brittany Maine- Belleville Public Library: Ah, I get it now, thanks Joan.

Brittany Maine- Belleville Public Library: I agree, Denise. Those little edits can help out so much.

Joan Bauer: Anyone with other questions?

Joan Bauer: The $3 bib option has taken off -- look to the SHARE website if you have questions

Joan Bauer: Under Cataloging -- Documents -- here's the link http://share.illinoisheartland.org/?q=3dollar-bib-record-option

Don Pippin, Philo Public Library District: When will it or will it be expanded to include audiobooks and cd/music?

Joan Bauer: The form was down last week for two days, but is back up.

Joan Bauer: Done -- AV doesn't lend itself readily to $3 bibs. There are many things about cataloging videos that are not easily matched and need to be added by catalogers.

Joan Bauer: Same goes with music. Having item in hand when cataloging AV is almost a must.

Joan Bauer: Anyone out there needing serials training?

Joan Bauer: Okay - what about Searching/Matching and Barcoding (these two classes go together)?

Don Pippin, Philo Public Library District: I need to make room in my schedule to attend those sessions.

Joan Bauer: Just let us know what works Don

Joan Bauer: What about Monograph Cataloging -- Shelley has this class in Marion at the end of the month.

Don Pippin, Philo Public Library District: Will do. You all have been great as I am finishing my first year.

Amanda Endicott @ Edwardsville Public Library: Joan. I could use a refresher on serials!

Mary Mathews- Belleville Public Library: I need Monograph Cataloging. Will that be at Edwardsville anytime soon?

Joan Bauer: Okay, Amanda. We'll get one in the Edwardsville area. Nick Bennyhoff is being trained to be the serials guy

Joan Bauer: Anyone learning RDA?

Amanda Endicott @ Edwardsville Public Library: I just took the RDA for copy catalogers session that ALCTS offered. Very informative.

Nick Bennyhoff: Is anyone actually cataloging in RDA yet?

Joyce Bringenberg @ Glen Carbon: I just got Maxwell's Handbook for RDA. It has helped with a couple of questions I had.

Joyce Bringenberg @ Glen Carbon: I've created a few original RDA records when the record I derived from was RDA.

Nick Bennyhoff: Joyce - good to hear. I usually do any originals in RDA now, and if I'm doing significant edits on an AACR2 record, I'll make it RDA.

Joyce Bringenberg @ Glen Carbon: It's great to have MARC Report when creating a record in RDA...getting that "picture" and all... :)

Nick Bennyhoff: It definitely helps. I inevitably miss something :)

Joan Bauer: If there are no other questions -- then we'll see everyone next month.

Audrey VanVoorhis at Effingham Public Library: Thanks for all the helpful information

Yvonne Williams West Sangamon Public Library: Thanks!

Shelly Smith--Forsyth: thanks

Don Pippin, Philo Public Library District: bye, see some of you at ILA

Brittany Maine- Belleville Public Library: Thanks!

Amanda Ciaccio - IL Supreme Court: Thanks
