Traci Edwards & Kim Sparks are the primary contacts for schools and are available to either answer your questions or point you in the right direction.

Please send us your school closings by filling out the Closing Dates Form.  It is important to have this information in Polaris so items will not be due or fines charged on days you are closed.

You may also want to fill out the No Delivery Request Form to let the delivery department know when you do not want delivery.

We also need to know of any staff changes. Since we communicate regularly through email, we need to be sure we have the name and email address of the main contact for your school.

Part of SHARE membership includes loaning your items out to other libraries.  Please check the Request Manger daily for items being requested.  Request Manager Instructions.

 

Special Overdue notices created for schools are located in the "Schools" folder of the Reports and Notices utility and work best if patron records are entered as shown in the Sample School Patron Record.

Overdues and Fines

Lists all items overdue and all fines owed.

There are three different formats (LIST, NOTICES, SIMPLE LIST) available and each can be sorted three different ways:  by Name, Street 1, or Homeroom.  In addition, you can limit each report by a specific name, Street 1, or Homeroom.

Out-Overdues and Fines

Lists all items checked out, overdue, and all fines owed.  These reports may be useful at the end of a semester or the end of the year.

Towards the end of the school year, please fill out the Schools-End of the Year Form.  The form lets you submit an end of term due date, when to stop your patrons from placing holds (outgoing hold requests), and when to stop Request Manager (incoming hold requests).

 

Polaris has an automatic patron record delete option that many of the public libraries take advantage of, but may not work well for academic and school libraries.

SHARE staff can delete your expired patron records (i.e. graduates from years gone by) based on your local needs.  They can do so automatically each year, or periodically upon request.  Any patron with blocks, overdue items, owing money, or with items still out will not be deleted, but will be put in a patron record set for you to view, edit and eventually manually delete.

If you prefer to delete your own expired patron records, the Expired Patron report has been added to each location’s custom folder for easier access, and to aid in managing your own patron records.

If you do choose to have SHARE staff delete your expired patron records, complete and submit the Expired Patron Record Delete Options Form.  Once submitted, you will be contacted for specific instructions and with patron record set information.
