Regarding payment and billing for lost or damaged items:

  • The lending library may bill the patron’s home library for lost materials.
  • Bills may be sent {to Illinois Heartland Library System} for items lost in transit.
  • The time frame for billing the patron’s home library is no later than 12 months from the item’s due date or last in-transit date.
  • Reimbursement will be made within eight weeks of receipt of the bill.

We’ve had sporadic calls about the link between ePay and Polaris not working correctly. Usually, it’s a case of a patron paying a fine on their PAC account, with the payment posting with ePay but not crediting their Polaris account.

It’s possible that this is caused by the action timing out before Polaris gets the message—because of a server going down, among other possibilities. The tech people at ePay and Polaris are looking into this problem for us, but we need some more information before they can figure out exactly where the error is occurring.

First, we need to know how often it is happening, and we need to know specific information about each occurrence. We need to have specific examples of payments that were authorized by ePay but not recorded in Polaris. The tech folks at ePay and Polaris will need as much detail as possible (i.e., Library, time of transaction, authorization code, transaction detail, etc.) to be able to isolate the problem.

If you don’t already do so, it would probably be helpful for libraries that offer ePay for their patrons’ use to make a comparison of the amounts received on your monthly Global Payments statement or your Illinois Funds statement with the Polaris Fines & Fees Credit Card Payments report. You can find this report by going to Utilities > Reports and Notices > Public Services > Patron Financial > Fines and Feed – Credit Card Payments.

If you find ANY discrepancies between the two reports, please email the specific information (as noted above) to Chris Dawdy, and your information will be forwarded to both ePay and Polaris.
