Sue Pearson: We've had several reports within the last half hour or so about error messages when doing a bib search. Just wanted to let everyone know our tech dept. is looking into it.

Joe DeVillez: Patron search as well. I just tried on LEAP and was unable to pull up a record.

Amanda Endicott @ Edwardsville Public Library: Brandon just sent an Email that says they're looking into it.

Joe DeVillez: There is now a circulation listserv available to keep you updated to circulation happenings. If you would like to be added to it please send an email to either myself, jdevillez@illinoishearltand.org, or Sue, spearson@illinoisheartland.org. We will make sure to place you on it.

Joe DeVillez: Also, on July 24th we will be hosting Circulation Day at the Knights of Columbus building in Effingham, Il. A list of details and the sign up sheet is on https://www.librarylearning.info so if you are interest please look into it.

Denyse Eagleson: Will you explain a little about the Circulation Day?

Sue Pearson: There will be a book repair workshop from 9-12 and then a presentation on marketing e-resources, a Polaris Q&A, and a Polaris trivia contest for prizes in the afternoon.

Sue Pearson: Lunch on your own from 12-1.

Denyse Eagleson: thank you

Joe DeVillez: Just a way to join in with others and discuss any going ons with other librarians and hopefully learning something new

Denyse Eagleson: for public as well as school?

Joe DeVillez: Yes. Everyone is invited

Kyla- Mississippi Valley LD: For those of us who don't have much (or any) of a travel budget, will something similar be done at other locations?

Sue Pearson: This is just a one time thing. We are going to start having monthly circulation meetings at different locations around the system.

Kelly Wilhelm, Lebanon Public: Do you need volunteers for hosting the circ. meetings, Sue?

Sue Pearson: For example, September may be in the Edwardsville service area, October in the DuQuoin area, and November in the Champaign area.

Laura: Sue, Is that the SHARE Circulation Forums that was in the SHARE News?

Sue Pearson: We'll keep rotating every month.

Joe DeVillez: These events will be posted on L2 and will begin in September

Mary @ Hayner: I can't wait for these! I think they will be really helpful.

Sue Pearson: Laura- I think we will be having some at member libraries. Not sure how we're going to do them yet.

Mary @ Hayner: Are they going to be available via vtel?

Laura: Thanks!

Susan Bunker Hill PLD: If you need locations for the meetings, Bunker Hill has a meeting room.

Sue Pearson: We just want to make sure we move around each month to make sure everyone has the chance to attend some.

Joe DeVillez: I'm not sure about V-Tel. I would have to talk to IT about how easy that would be to set up

Sue Pearson: We were thinking more of a face-to-face meeting. Using VTEL really limits our choice of location.

April Jensen Lincoln Public Library: We can attend circulation committe meetings even though we may not be on the committee correct? I am very interested in becoming a member of that committee.

Esther Curry--C.E. Brehm Memorial PLD: Yes, Circ Commmittee meetings are open to the public. Come any time.

Laura: Are these Forums only for the circulation commitee?

Esther Curry--C.E. Brehm Memorial PLD: The Circulation Formums are not connected with the SHARE Circulation & Resource Sharing committee

Joe DeVillez: No. These will be for everyone who wants to attend

Esther Curry--C.E. Brehm Memorial PLD: They are for circ staff

Laura: The June 30th SHARE News had a section about transit slips & Messages. I understand using the transit slips but are we all supposed to be using the Damage or Missing Parts slip that was included in this section?

Sue Pearson: I know delivery would like everyone to use the slips/forms shown in the SHARE news.

Laura: What I printed out was a full page

Sue Pearson: Especially if you're sending something without a Polaris printed transit slip.

Kim-Onarga: Are the slips to be used all the time or just when we think an item was lost or damaged in delivery

April Jensen Lincoln Public Library: delivery has been doing a great job lately.

Sue Pearson: I wish everyone could go to a delivery hub and see what all they do in a day. It's amazing how much goes out in the morning and comes in in the afternoon.

Sue Pearson: And I know in Edwardsville - we have an almost 100% daily turnaround rate.

April Jensen Lincoln Public Library: We have requested items one day and get them the next day. very impressive.

Sue Pearson: Being here at the hub - I sometimes get things the same day.

Sue Pearson: I do want to talk a little about ILL patron records. I've taken over the task of maintaining these records.

Sue Pearson: I started going through them and there are a lot of outstanding charges on the accounts.

Sue Pearson: You may be hearing from me in the near futute about charges from your library on the ILL accounts.

Sue Pearson: I just want to make sure these charges are haven

Sue Pearson: I just want to make sure these charges are haven't been paid for already but just not removed from the ILL account.

Sue Pearson: I suspect many have.

Sue Pearson: been paid for already.

Sue Pearson: So, just a reminder. If you use an ILL patron account for loans outside the system and this account incurs a lost book charge - when the charge is paid for you not only need to take care of this through WorldShare b

Sue Pearson: but also in the patron account that you checked out the book.

Sue Pearson: Any questions about that?

Laura: Are you talking about items sent thru OCLC?

Sue Pearson: Yes.

Sue Pearson: And only items which are checked out on the IHLS created ILL patron records.

April Jensen Lincoln Public Library: are the circulation committee meetings in L2?

Joe DeVillez: They should be. They will be the 2nd Thursday of the month if not. The August meeting is scheduled for the 13th.

Sue Pearson: I don'

Sue Pearson: I don't see it in there yet. And I don't know who usually adds these to L2.

Esther Curry--C.E. Brehm Memorial PLD: The meeting are every other month , on the 2nd Thursday, 10am-1pm. They will be added to L2--I don't think they're on there yet. We just set the day of the month earlier this week.

April Jensen Lincoln Public Library: Ok. are they held at the same place?

Esther Curry--C.E. Brehm Memorial PLD: They are usually by v-tel at the hubs and sometimes other sites. The locations will be listed in L2 , once they're posted.

April Jensen Lincoln Public Library: Great. I want to get more involved with this committee.
