Edie Elliott: Welcome to SHARE Chat! This session will be from 1 - 2 PM. The hosts will be Edie Elliott, IHLS-Edwardsville and Shelley Stone, IHLS-DuQuoin. This session will be chat only--no audio. To post a chat, type your question or comment in the box at the bottom of your screen and hit Enter. You can change the size of the text you see on your screen by clicking the dropdown menu at the top right of the Chat screen (to the left of the word Attendees), and clicking Text size. This will affect only what you see--it won’t change the size for anyone else. Thanks for attending today’s session!

Edie Elliott: The focus of today’s chat is cataloging, barcoding, serials and record sets. For SHARE catalogers, attendance at the entire session qualifies for 1 hour of cataloging CE credit. Please sign in with your full name and library so we can make sure you get credit. You won’t need to submit a web form.

Esther Curry--C.E. Brehm Memorial PLD: Was there a reminder email about todays chat? I had to look up last months email to get the link.

Paula Taylor O'Fallon PL: I got an email today.

Edie Elliott: I sent an email out around 9 am

Esther Curry--C.E. Brehm Memorial PLD: Okay, I didn't get it. Must be email weirdness

Dena Porter--MRNP: I got the email

Edie Elliott: Good afternoon, everyone!

Roxanna Behnke: Hello!

Sue Dallstream - Taylorville Public: Hi

Anna Hesterberg - Columbia PL: Hi all

Paula Taylor O'Fallon PL: Hello

Kay Burrous South Macon 4: Good afternoon

Kay Burrous South Macon 4: How do I sign in Vicki Carr?

Shelley Stone: Kay, just click on one of your entries and the little button on the top right hand side with several horizontal lines and click edit my info to put her name in one

Darlene Barlow: I went into the last month details too to sign in

Edie Elliott: The URL for the chat is also in the L2 description for the chat

Esther Curry--C.E. Brehm Memorial PLD: It's faster to just search my email for the last email. :)

Edie Elliott: The email was addressed to both the SHARE listserv and the SHARE Cat listserv, but maybe there was some sort of glitch.

Anna Hesterberg - Columbia PL: I got the email from this morning just fine

Vicki Carr South Macon: Thanks.

Christina Hayes: Hi

Shelley Stone: Does anyone have a cataloging, barcoding or serials question?

Anna Hesterberg - Columbia PL: I have a dilemma that I could use some advice on

Anna Hesterberg - Columbia PL: we lease a fairly small selection of audiobooks for only three months at a time, and then they go back to the company after that. Due to the contract, we don't let the items go out to other libraries, only our patrons. But I'm finding many of them don't have a bib record, and it doesn't make sense to me to have to bring in a record from OCLC only to delete it in 3 months. I'm kind of frustrated that we don't have any temporary recourse for collections like this.

Anna Hesterberg - Columbia PL: I don't necessarily want it in the PAC since we can't share the audiobooks, and also when I bring over an OCLC record, because I've set our holdings in WorldCat, we get ILL requests for the items, which we can't send out through ILL.

Edie Elliott: Anna, are you not finding records in Polaris, or not in OCLC? Even if you are only using the record temporarily, other libraries might have the same item, especially barcoding libraries that can't bring in records. You can set your item record to not display in the PAC.

Edie Elliott: You can also have your OCLC ILL settings to not loan audiobooks, I believe

Anna Hesterberg - Columbia PL: Records often not in Polaris. They're in OCLC, but many are mostly older (occasionally obscure) audiobooks that if libraries were going to get them, they already would have.

Anna Hesterberg - Columbia PL: Yes but we have plenty of other audiobooks we're happy to loan in OCLC ILL, that's the problem, haha.

Shelley Stone: Yes, I too was thinking of Edie's response because of new, popular titles instead of obscure titles.

Edie Elliott: I don't know that much about OCLC ILL--can you refuse a request on a particular item?

Anna Hesterberg - Columbia PL: You can, it's just annoying for our ILL person.

Shelley Stone: I don't think it hurts to have the record in SHARE. I know it is time-consuming to load the bib record for only a short period of use, but I am not sure there is a way around it.

Anna Hesterberg - Columbia PL: I understand the reasoning behind not letting items circulate repeatedly "on the fly", I guess I'm just asking why there couldn't be some kind of protocol in place for local-only temporary special collections.

Anna Hesterberg - Columbia PL: Many of these items have very poor records in OCLC so it seems pretty much a waste of time getting them up to standard in order to only use an item for three months.

Esther Curry--C.E. Brehm Memorial PLD: Shelley or Edie--couldn't they do a temporary bib record similar to what we use for ILL for items coming in from out of system?

Vickie/Scott AFB Library: You would want it to display in the catalog, so that your own patrons could find it. I suggest adding it to your collection, even for a short time.

Roxanna Behnke: I sometimes have the same problem. Before Polaris there was a way to do a short bib which I also used for puzzles. Now I have to do all the puzzles from scratch. They only have a shelf life of about 6 months so it is a pain.

Anna Hesterberg - Columbia PL: Thanks Roxanna, I knew I couldn't be the only one!

Edie Elliott: Anna and Esther, I think that's a question for the Bibliographic and Cataloging Standards Committee. The next meeting is July 15. You can send a request to the chair, Bobbi Perryman, to have it put on the agenda.

Anna Hesterberg - Columbia PL: Alrighty, I will pose it to her!

Darlene Barlow: What if I have a copy of The Endless Forest by Sara Donati and it is a paperback. It is in thesystem by Publisher, same amount of pages but not the paperback ISBN Number that the book I have. What do I do now?

Shelley Stone: Darlene, is the publication date the same?

Darlene Barlow: Let me look it up and I will get back to you

Darlene Barlow: Yes, they are both 2010.

Shelley Stone: In that case, if all of the match points are the same (author, title, publisher, date, pages numbers and size, series) then they can be on the same bib record. Just send in a cataloging help desk ticket or email one of us and let us know the bib control number and ISBN to add to it.

Paula Taylor O'Fallon PL: What if the paperback has an edition statement - lots of times, they do. Also, how about cm?

Shelley Stone: Paula, a paperback edition statement such as "paperback edition" doesn't matter, but if it said "1st Back Bay books paperback edition" then the publisher would be different and probably the publication date as well. I mentioned size as a match point above.

Paula Taylor O'Fallon PL: Sorry, I see you mentioned size now. Thanks.

Shelley Stone: no problem

Lynn Armstrong/Blackburn College: Sorry, I have to go to another meeting.

Edie Elliott: We have about 10 more minutes. Are there any other questions?

Vickie/Scott AFB Library: I have an audiobook on MP3 I would like to add. It's in OCLC as L level. Can we bring in L level to Polaris?

Edie Elliott: Vickie, L level is a full-level record added from a batch process. It's okay to bring that in, but you still want to check and make sure you edit or correct anything that needs it. A full-level code doesn't guarantee a good record.

Vickie/Scott AFB Library: Do I change it to I level if all is correct?

Shelley Stone: No you do not need to

Vickie/Scott AFB Library: Thank you.

Vickie/Scott AFB Library: Are there any Cataloging Workdays scheduled soon for Edwardsville or Mascoutah?

Edie Elliott: VIckie, we don't have anything on the schedule at the moment, but we can look at adding one

Vickie/Scott AFB Library: Thank you. I'll keep my eye on the calendar in L2.

Sandy West - Rend Lake College: thank you for the great session

Christina Hayes: Thank you.

Vicki Carr South Macon: Thank you.

Linda Richter: Always learn something L records were new to me today

Edie Elliott: If there aren't any more questions, we'll go ahead and close now. Thanks for attending! Stay cool, if you can!

Paula Taylor O'Fallon PL: Thank you!

Vicki Carr South Macon: Thank you.

Sue Dallstream - Taylorville Public: I'm glad to learn about L records, too.

Sue Dallstream - Taylorville Public: Thank you.
