In general, multiple editions can be on the same record as long as they meet the OCLC Bibliographic Formats and Standards match criteria as outlined in the SHARE Searching and Matching documentation.
However, if the basic match criteria differs between editions, each edition will need to be on its own bibliographic record.
For books, if one edition is the First edition and another is the Second or Third edition, these would both need to be on their own record.
Edition statement formatting
250: If applicable, record all edition statements in the same 250 field, separated by a comma.
Non-Book Formats (Local Practice)
For MP3 audiobooks, vinyl, video materials, and preloaded video materials, add an edition statement with the brand or type of materials in square brackets as a local edit.
Example: [MP3-CD], [Vinyl EP], [Playaway View], [Blu-ray + DVD combo pack], etc.
Standard numbers
02X: Add ISBNs, UPC numbers, or other standard numbers to the record if not already present. Include qualifying information in the subfield q for the item in hand.
Book club and Deluxe editions
Book club editions can be on the same record as regular editions, as long as they meet the searching and matching requirements
For Deluxe editions, also consider the searching and matching requirements.
- For example, if the only difference between a deluxe edition and the regular edition is sprayed edges or a redesigned cover, this would not require a new record, since none of the match points differ. However, if the deluxe edition includes new illustrative content or is published in a different year or by a different publisher, it would require a new record.
DVDs, Blu-rays, and other Video recordings
All video recordings must be on records that meet the Searching and Matching criteria.
- For example, a Blu-ray disc with 1 videodisc could not be on a record for the Blu-ray + DVD combo pack that includes 2 discs.
Rental editions and retailer exclusive editions may have more or less material than other editions. Differences in special features or additional content would require a new record.
Large print
Large print and regular print materials cannot be on the same record. Bring in a new record for large print materials that matches the work and do not merge large print materials with regular print materials.
Some materials may be labeled “larger print” and are not the same as “large print”. Make sure Larger print materials are attached to a matching record.
Library Editions
Library editions and regular editions of books maybe attached to the same record if they meet the searching and matching criteria.
Add the library edition ISBN if not already present. Small discrepancies in size may be present, due to the differences in binding, but are fine as long as they are within the 2 cm difference allowed by the matching criteria.
Library editions and regular editions of audiobooks may be attached to the record for the regular edition if the only difference is the presence of the library edition statement. Otherwise, the items must meet the OCLC Bibliographic Formats and Standards match criteria.
The library edition ISBN should be added to the bibliographic record if not already present.
Paperbacks vs. Hardbacks
Hardback and paperback versions of a book may be on the same record as long as they meet the searching and matching criteria.
Include edition statements in the same 250 field, separated by a comma.
Example:
250 _ _‡aFirst hardback edition, 1st paperback edition.
Add any ISBNs on a matching item to the bibliographic record if not already present.
With and Without Accompanying Material
An item with substantive accompanying material should be cataloged on a separate record from the same item that does not include the accompanying material. Records will not be merged in this instance.
As needed, add the following edition statement in MARC tag 250 to indicate accompanying material is included. This will keep records from being merged in OCLC. This may be added to an existing edition statement, separated by a comma.
