Circulation & Resource Sharing Issues

As everyone who reads the SHARE Directors listserv emails knows, as an organization, we’ve been experiencing a number of issues with regard to interlibrary loan borrowing.  We’ve heard concerns about member library staff overriding holds, extending due dates without permission from the item owning library, and more.  As a result, the SHARE staff believes it’s time to remind everyone of the expectations we should all have of ourselves and each other, as members of the largest library automation consortium in North America.  We also believe the problems are generally the result of a lack of training and information, not the result of negligence or not playing fair in this large playground we occupy.

The SHARE staff have been working on three new projects to help alleviate these problems.  The first is a list of libraries that will allow borrowing libraries to extend the due date on an item being borrowed ONLY for use by organized book clubs, homebound support services, or curriculum support services without additional contact.  The list can be found on the SHARE website, at https://share.illinoisheartland.org/circulation/libraries-allow-longer-loan-periods.  Please remember that this list does not imply that other libraries will not approve extending due dates, but you will need to contact any library not on the list before extending a due date or overriding a renewal.

The second project is an ILL Violation Report form that is posted on the SHARE website here – https://share.illinoisheartland.org/support/forms/543This form is to be used to report any and all interlibrary loan violations, whether it’s overriding a hold, extending a due date, or dealing with a lost item.  There are several reasons for developing and using this report form.  One is to collect data on how often violations are actually occurring.  Another is to determine if problems are occurring on a regular basis at specific libraries, which could be an indication that circulation staff might need additional training.  

And the third project is a Pre-Basic Circulation training video, entitled the Ten Commandments of SHARE Circulation.  Within the next couple of weeks, SHARE staff expect ALL member library staff to watch this three minute video.  The video is posted on the SHARE website -- https://training.illinoisheartland.org/course/view.php?id=16  Going forward, all new circulation staff at member libraries will be required to watch this short training video prior to being given access to Polaris.  They will need to log in to the SHARE Training site, so that SHARE staff receive notification of training completion and can then complete the task of adding a new username and password to Polaris.

By the way, we’ve discovered that Firefox doesn’t really like our video, so it plays the sound twice, at the same time.  Very confusing!  As a result, you’ll probably want to use Explorer or Chrome when you watch the video.

 Did you know item record barcodes should begin with a different digit than patron barcodes?  One of the former LLSAPs used 0 for item barcodes and 1 for patron barcodes.  Since merging the four LLSAPS to form SHARE, and working with IDLabel Inc, the pattern is now  changed to item record barcodes starting with a 3, and patron record barcodes starting with a 2.  Well, if you didn't, you aren't alone.  There are over 3200 patron barcodes used as item barcodes.  Did your library make this mistake?  To check, search item records, by barcode, and put 2* in the “for” box, and limit by your assigned branch.  See below. 

Just a note - there are a few legitimate item barcodes that begin with 2, but those libraries that have short barcodes or have mistakenly used 2s instead of 3s,  should correct those item records.  To accomplish this, do the search; pull the items with the incorrect barcodes from the shelves; open the item record for that item; scan in the new barcode for the item in the barcode box (replacing the 2 barcode) and save the item record.  Affix new barcode on item and you're done!
