Policies and Procedures

On behalf of the SHARE Circulation and Resource Sharing Committee, the following updated policies and procedures have been posted on the SHARE website for member comment:

These proposed policies and procedures will be available for comment through Wednesday, July 18, 2018. Comments will be reviewed by the SHARE Circulation and Resource Sharing Committee at the meeting on Thursday, August 9, 2018.

Circulation

Did you know that many of our reminders are generated from member questions or comments? Here are some of the questions from this last month.

Non-Resident Cards – Non-residents can purchase a card from the public library located in their school district. If there is not a public library in their school district, or another library is closer, they can claim a “commonality of community interest” and apply at the library closest to their residence. For more information, go to the IHLS website’s page on Non-Resident Fee Program Information.

Returning Holds – All holds will be considered unclaimed after 7 days. These must be returned in a timely manner. Libraries should check their unclaimed holds list at least once a week but preferably every day the library is open. If unclaimed items are not returned promptly, then they will be considered lost and your library may be billed for the item.

Special Loan Periods – Did you know that when an item is requested by a transitional library or an affiliate member, all items are automatically checked out for three weeks? The purpose is to allow IHLS to process and deliver the item, as well as allow the patron time to retrieve their hold.

Lost & Paid Items – When a patron pays for a lost or damaged item, the payment should be forwarded to the owning library. The owning library can then update the item record and either reorder or delete the item from the SHARE database.

ILL Violations – one of the most frequent complaints about SHARE is in regards to ILL Violations, specifically with a very small minority of library staff violating SHARE policies for personal accounts. This is a friendly reminder that if you are not supposed to override a policy for a customer, please do not do so for a personal account.

Changing Due Dates – Even if an item has been checked out improperly, please do not change an existing due date. A patron may never know their due date has changed, and it is unlikely that the item will be returned any sooner. Please try to resolve the conflict with the lending library, or report an ILL Violation to SHARE for assistance.

Cataloging

A beta version of the redesigned RDA Toolkit has been released. More information is available on the RDA Toolkit blog.

The beta version is not complete or official. We will still be using current RDA guidelines until the redesign is finalized.

If you’re interested, a document describing the “Outcomes of the RDA Toolkit Restructure and Redesign Project” by RDA Steering Committee (RSC) Chair Gordon Dunsire has been posted on the RSC website as RSC/Chair/19.

eResources

RBdigital is now offering 350 new Marvel comic book titles, in addition to their large library of other comics.
