Announcements

  • At the end of this school year, there will be several openings for school library representatives on the SHARE Executive Council. If you are a school librarian or media specialist interested in participating in SHARE governance, please email Cassandra Thompson, at cthompson@illinoisheartland.org
  • At the January meeting, the SHARE Finance & Policy Committee voted to keep FY19 SHARE annual maintenance fees the same as FY18.
  • The East St. Louis Community College name has changed to the SIUE East St. Louis Learning Resource Center.
  • Polaris has a new utility called the Carousel Toolkit! The new software integrates with Polaris to create a website script, in order to advertise new items. Instructions to use this feature are available on our support page.

Friendly Reminders

  • Please do not use tape on books going through delivery.
  • Don't forget to check your request manager daily! 
  • Please don't use "On Order" records to circulate items. If you notice items attached to these records, please submit a help desk ticket, with the category selected as cataloging. 
  • For school libraries: if you haven't already, please fill out the “Schools-End of the Year” form. Once your request manager is turned off, a checked in book may still pop for a hold, but you can click on “Deny” to pass it along to the next library.
    NOTE:  If we do not receive a form or email from you, holds and request manager will be turned off and canceled June 1st and back on by Labor Day. 
  • An extra renewal, hold, or due date override is only allowed with yourlibrary’s items. Please call to get authorization if the item belongs to another lender. Some libraries do allow exceptions to this rule in specific circumstances, for example loans to book groups or teachers. For a full list, please visit the SHARE website. If you do not see your library listed, and would like to get added to this list, please contact Cassandra Thompson, at cthompson@illinoisheartland.org. Have a dispute with another library? Please fill out the SHARE loan violation form.
  • Generally, patrons should only have one library card. When a patron moves from one public library to another, the patron's new library should modify the previous library's patron record, instead of creating a new record.

Circulation

  • The Circulation and Resource Sharing Committee is drafting a policy to clear older lost items, in order to maintain database integrity. In addition, a procedure for special exceptions to the one card per patron guideline is being discussed. Keep an eye out for further updates.

Cataloging

  • A draft cataloging standard has been posted on the SHARE website for member comment through Tuesday, March 13, 2018Recording Reading Program Information in Bibliographic Records. To access this draft or post a comment, use your Polaris login.
  • The Large Print and Larger Print Materials cataloging standard has been revised to follow OCLC procedures for cataloging larger print material as large print.The checklist for editing books has been updated to reflect these changes in procedure for large print.
  • The Approved Local Subject Headings list has been revised to remove the local subject Larger type books. With the changes in procedures for cataloging larger print material, this local subject heading will no longer be used. In addition, the local subject heading Playaway Lock (Preloaded electronic book reader) has been added to the list and may be used in Polaris records. Do not add the Playaway Lock heading to master records in OCLC.
  • The Use of Genre Terms cataloging standard has been revised to include the use of the genre term Regency fiction.

eResources

  • Our first official eResource User Groups were very successful! We’ll continue to hold user groups for each consortial eResource offered through SHARE or IHLS two times per year.
  • Members of the SHARE Cloud Library group are looking at adding pay-per-use eAudio content to the Cloud Library collection. This will provide access to an additional 30,000 eAudiobooks for patrons of libraries that participate and we’ve figured out a way to do it without raising the annual Cloud Library fee!   • Zinio will phase out the old app as of April 3, 2018. RBdigital offers both magazines and exclusive audiobooks for purchase. If you subscribe to this eResource, don’t forget to update your website. RBdigital also has promotional materials available.   • RBdigital also has a new offer that will change the way fees are assessed for IHLS libraries. This may translate to a considerable cost savings for current members as well as more affordable pricing for libraries that would like to join. If you would like more information about the RBdigital group, contact Lesley Zavediuk, at lzavediuk@illinoisheartland.org.
